Communications Access Service Request Acknowledgement Memo for Video Remote Interpreter Services (VRIS)

Overview

The following is an example email that you would receive if you request a remote captioner via the Communications Accommodations (CART/ASL) page on the DAC website.

Hello Linguabee and Requester of ASL Sign Language Interpreter services,

I would like to submit the attached request for services. Thank you and have a great day!

(Requester) hello, your submission of this form confirms you are requesting American Sign Language (ASL) Communication Access services. If not, please notify me immediately. There is a 24-hour billable Cancellation policy and Interpreters are generally booked for services more than a week to two weeks in advance.

  1. Please review the attachment and make sure the event information you inserted into the Communications Access Request form is accurate.
  2. Remote Events:
    1. If you are not the event on-site Access Coordinator for the services please ensure the contact information for the interpreters the vendor sends to you is shared with the person that is on-site to ensure services can be provided.
    2. Please review the Disability Access and Compliance Remote Access Checklist attachment to learn about how to enable the ASL Interpreter(s) to access the event (this includes how to spotlight an interpreter).
    3. Please note you will need to start the meeting and meet with the ASL Interpreter(s) 5 minutes before the meeting is scheduled to start.
    4. Events recorded for later public viewing are charged extra when the translations of ASL interpreters are included in the recording.
  3. Materials included for display or reference in the meeting: send an agenda and list of speakers/recipients, introductions, speeches, provide text to be read or displayed, pre-recorded video content (must already be closed captioned).
  4. Multi-Day Events: When an event takes place over multiple days you will need to provide a schedule of events with an agenda that itemizes the date and time of the activities for which you are requesting services.
