Overview
The following is an example email that you would receive if you request a remote captioner via the Communications Accommodations (CART/ASL) page on the DAC website.

I would like to submit the attached request for services. Thank you and have a great day!
(Respondent Name) hello, your submission of this form confirms you are requesting Live remote Captioning communications access services. If not, please notify me immediately. The vendor has a 24-hour billable cancellation policy.
Instructions and Questions:
- Please review/confirm the event information submitted in the attached Communications Access Request form (CR).
- Please confirm whether the consumer prefers to view the captions in a Zoom or similar interface on their smart device or by way of StreamText.
- Please review the Disability Access and Compliance Remote Access Checklist attachment to learn about how to enable the Caption Writer to access the event (this includes how to retrieve and provide an API Token).
- You will need to start the meeting and meet with the Caption Writer 20 minutes before the meeting is scheduled to start. Do not engage Automated Captions.
- Transcripts of the captioned content are not automatically provided unless requested. To request a transcript, please submit your request to Aberdeen. DAC may be able to fund the event remote captioning services, but DAC funding cannot be used to fund the cost of a transcript.
- Materials included for display or reference in the meeting: send an agenda and list of speakers/recipients, introductions, speeches, displayed documents and text to be read, pre-recorded video content (must already be closed captioned).
- Multi-Day Events: When an event takes place over multiple days you must notify the vendor what you want captioned on each day. Provide an itemized agenda organized by date and time for each section on each day that you want activities captioned. Please confirm with the vendor.
- Venue Audio Check: Caption Writers need an audio signal to provide services. For in-person or hybrid events Please confirm the on-site location has a Public Address system that can produce an audio signal (unit A/V consultant). If not, contact our office so we can explore a solution. Also please contact Berkeley Audio Visual (BAV)(link is external) to gain professional support for your event. The better the audio signal the better the access can be seamless.
